Most
businesses assign each employee or department their
own distinct POP-3) e-mail address i.e. bobsmith@yoursite.com
or accounting@yoursite.com. These accounts are accessible
using e-mail software like Outlook, Eudora, Outlook
Express, and should not be confused with unlimited
"virtual e-mail" accounts.
It
is very common for even the smallest company to separate
departments by creating distinct e-mail accounts used
to manage correspondence. Most companies will use
at least 5 POP-3 E-mail accounts as a minimum plus
one POP-3 e-mail account for each employee....for
example:

webmaster@yourdomain.com: For customers to
reach your web designer for feedback or bad links.
2- administrator@yourdomain.com: For
the general administrator of the website.
3- support@yourdomain.com: For support
inquiries (you may want to setup multiple support accounts).
4- sales@yourdomain.com: For general
sales questions and inquiries.
5- orders@yourdomain.com: For your
payment processor forwards order confirmations to.
6- accounting@yourdomain.com: For suppliers
or customers to contact your accounting dept.
7- employee1@yourdomain.com: An e-mail
account for each of your employees.
8- employee2@yourdomain.com: An e-mail
account for your personal use.
9- spam@yourdomain.com: An e-mail account
all non pop-3 mail is forwarded to for review or deletion.
You will probably want to create a few more disposable
"junk"accounts that are useful for opt in
mailing lists that collect a lot of spam. These "junk
accounts" simply forward their messages to your
regular mail account and can be deleted when they are
no longer useful. |

Another reason you will need more e-mail accounts is
to setup drone autoresponders. These are e-mail accounts
that are used by your company to automatically reply
back to your customers with a message specific to a
marketing offer or to confirm removal from a mailing
list. Complex autoresponders can be set to always reply,
or to only respond based upon a key word or phrase within
the subject or body of the message. |

Your
hosting account includes both POP-3 e-mail accounts
and "catch-all e-mail". Catch-all is used
to create virtual email accounts. It "catches
all" addresses not already defined as POP-3 and
forwards them to a single address. This can be used
if you want to forward many departments to one e-mail
address; for example: support@yourdomain & webmaster@yourdomain...
etc could all be forwarded to bobsmith@yourdomain
and therefore allow one address or person to receive
mail from multiple virtual accounts.

| We
have seen other hosting companies advertise unlimited
e-mail accounts and not make the distinction that they
are virtual while failing to offer SMTP outbound mail
service. Without having both SMTP & POP-3 e-mail,
you would only be able to receive e-mails but your outbound
e-mails would be from your local ISP account. Imagine
how unprofessional it would be when someone replies
to sales@yourdomain.com but you can only respond to
them with r343@earthlink.net. Other hosting companies
only include 1 or 2 POP-3 e-mail accounts and as you
run out of email accounts charge an extra $1-$2 per
month per additional POP-3 account significantly raising
your hosting costs. |
